The client

Mayflower Group is an aged care provider in Victoria with multiple facilities dedicated to promoting positive wellbeing among older people. One of this not-for-profit’s facilities specialises in caring for people from Mediterranean countries, offering a unique surrounding that enables residents from the Italian, Macedonian and Greek communities to rekindle connections with their origins.

The challenge

Time was of the essence on this submission. Working on a compressed one-week timeline, our client required a cohesive application strategy and a compelling submission. The grant would help to realise the management team’s vision of creating a soothing oasis at Mayflower Reservoir. We also needed to collate substantiating documentation and show alignment to the criteria set out by the Federal Department of Aged Care and Health in its grant guidelines.

Mayflower’s management team provided an array of potential items to include in its submission, but without relevant experience in grants, the team needed expert guidance to draw out the salient points and craft a supportable case for investment.

Our solutions

We identified the need to clarify responsibilities, create a submission planner and delegate tasks, sharing the workload across the group to expedite the production process. We also provided oversight of the selection of activities to ensure only eligible activities would be put forward for investment. We then checked and re-checked each individually crafted response for alignment and consistency.

Outcomes

Working closely with the Mayflower team, we reviewed, edited and built upon the fundamental information provided to us. We were able to quickly produce a comprehensive and strongly aligned submission supported by an activity work plan, budget, risk assessment, letter of support and financials.

What made this grant project a success?

The Mayflower team showed flexibility with the project scope to better show alignment to the grant, as well as a willingness to follow guidance. Time was used wisely, with individual team members being assigned to draft individual aspects of the application, with these materials then being reviewed by GrantHelper.

We also benefitted from the critical groundwork undertaken by Mayflower, such as creating a budget and gathering quotes. This allowed us to focus on enhancing the quality of the final product and ensuring the alignment shone through in all responses. Thanks to the team’s proactivity, and despite the short deadline, we were able to submit a polished application with a high degree of confidence.
